Facilities Assistants Duties

Requests for any assistance as listed below should be sent to the Facilities Assistant via maintenance@wbs.ac.uk or by completing the appropriate form (links below) and not to his private email address, in order to enable the jobs to be done. Please do not stop the Facilities Assistant on his rounds with requests for ‘quick’ jobs, always follow the email procedure.

  • Confidential Waste should be placed in the white Confidential Waste sacks provided whichcan be obtained by ringing the Helpdesk on 22567. Sacks can either be collected by ringing the Helpdesk direct, or the Facilities Assistant can collect them from offices when requested to do so via maintenance@wbs. The sacks will then be taken to a lockable skip on site when necessary, to await collection from the Secure Shredding contractor.   • Furniture On request the Facilities Assistant will assist staff with small items of furniture to be moved at any time. Heavier/awkward items should be advised to the Facilities Assistant via the maintenance@wbs email, but please note that if the assistance of the porters is required, this may take a few days. For large or multiple office moves assisted by porters or removal contractors, at least two weeks prior notice is necessary to the Facilties & Infratructure Manager. The Facilities Assistant will also assist in setting up rooms for events with chairs/tables/flip charts etc. when requested, with at least one weeks prior notice. If furniture is moved by groups for a teaching session they are expected to return it to the correct layout (with or without assistance), which is posted on the wall/door of each room, before the next session starts. A routine check of the furniture in the lounge and patio areas to ensure the area is correctly set out will also be carried out by the post holders. For all of the above please use the appropriate request form.
  • Keys/Access/Locking up The Facilities Assistant will order/collect/deliver keys ordered by the Group Support staff through the maintenance@wbs email address. Unlocking rooms that are needed throughout the day can also be requested including access to offices for maintenance contractors and/or deliveries in the absence of the occupant/Group Support staff. During the warmer weather the Facilities Assistant will check the external (patio) lounge doors in Scarman Road each evening. If you have an event ongoing after that time and want them left open you are expected to ensure that the doors are secure when you leave. This may entail signing out a key from Reception before it closes and returning it the next day.
  • Packages/Teaching Materials If you have packages for other departments on campus and it is a matter of urgency, the Facilities Assistant will deliver them for you i.e. exam papers, boxes of scripts etc. Deliveries to off campus venues for teaching materials is also possible with at least a weeks prior notice when WBS can arrange to book a vehicle from the university pool of vehicles which would then be charged to your cost code.
  • Recycling The pink sacks are available (free of charge) from the company responsible and your support staff will ensure that there is a supply in your group/centre office. The Facilities Assistant will ensure that the ‘Pink Sack’ recycling system is operated in the two WBS Print rooms E0.07 & B0.03 and in the student print room D0.06. Please do not ask for assistance with the removal of pink sacks (which must be easy to lift i.e. no heavier than a box of printer paper 11kg) which should be placed outside your office for the cleaning staff for collection by the cleaning staff on Monday and Thursday mornings.
  • Water Cups The Facilities Assistant will ensure that the cups for the water fountains are replenished in all WBS buildings each day. If there are occasions when the cups run out in the afternoon, it will not be until the next morning that they are replenished unless an urgent request is made.
