Timetable Report Guide

There is a suite of dynamically updated reports available online, which allow users to view this current academic year's timetable data in a variety of formats.

Syllabus + (S+) Central Timetabling Office Data - Online reports List or grid options (see below for details). Please note: these reports will not include any Small Group Teaching activities manually entered direct into Tabula (e.g. personal tutor meetings sessions held in staff offices, which wouldn't appear in the Central Timetabling Office system). If you would like a S+ (Central Timetabling records) activity report please email room dot bookings at warwick dot ac dot uk .

Tabula - Staff/Student Personalised Calendars and Departmental Calendar (Dept Calendar includes filters on staff/student/year/route/activity type and access to view modules from other Depts). A csv export file of all your Tabula SGT activities is available via the reports facility in Tabula.

Small Group Teaching/S+ activity csv download - The Tabula (Dept) SGT event report and S+ csv export files have been designed to be in the same format to enable them to be combined, this is to aid those Depts who use excel spreadsheets for clash checking either as part of the construction period or post release.

During the construction period (March- Early Sept) the timetable construction data is only available to Departmental Timetabling Reps, the reports are not dyamically updated during this period, snapshots of data are produced for each timetable construction release.

Syllabus + (S+) Central Timetabling Office Data

To see the timetable data for the current academic year go to the Central Timetabling Web page and click on the Timetable Reports link (you will need to enter your IT Services login code to access). Click on the links below to give you details of each report, ie layout, data included, etc.

Useful Tips:

• You can choose multiple selections in the module and location windows by holding down the 'Ctrl' key while clicking the mouse to highlight your selections. NB To clear the criteria you have chosen, click on any individual entry to select just that entry, or click on one of your highlighted choices while holding down the 'Ctrl' key to deselect a particular choice.

• Printing - You may wish to choose a different print orientation for reports. To do this, click on the ‘print' icon, choose the ‘Page Setup’ option and choose either ‘landscape’ or 'portrait' orientation and click ‘ok’ to exit. You can preview this on screen first to see which looks best be clicking on the 'print' icon and selecting 'print preview'.

Departments:

A web report of activities for a selected department, searchable by week/day/time.

Click on the 'Departments' option on the left-hand side.

  • Select the Department for which you wish to see a list of activities from the top scroll box.
  • Select the week range, day, time range and type of report (grid, list) you wish to see.
  • Click the 'View Timetable' button.
Activity List:

A full report of all activities for all days and weeks linked to a specified department - please note for larger Depts you may have issues the information loading, if that is the case feel free to contact the Timetabling Office and they can do an excel export for you.

Click on the 'Activity List' option on the left-hand side.

  • Select the Department for which you wish to see a list of activities from the top scroll box.
  • Click on the 'View Timetable' button.
  • Exporting departmental activity list to excel 

    • Open blank page within excel
    • Select column H, format cells, select Text, then ok
    • Leave open

     

    • Activity list in reports
    • Select department from drop down
    • View Timetable
    • Right click anywhere on page
    • Select all
    • When all text highlighted, right click again and copy

     

    • In excel, right click in cell A1 and paste using the Match Destination option (checking that the details are correct eg for weeks 1-10 it hasn’t been converted to 1st October)
    • Highlight rows 1 and 2 and delete
    • File, Save as and save it wherever you want to keep it.
    • Then order or sort it if you want it in something other than alphabetical order.
Programmes (Course) Timetables (Grid format):

A Programme shows a year of study for a particular degree course, eg History and Politics Year 1. The resulting timetable grid will show all the core and optional modules available to students in that year). Students shouldn't worry that they have to attend all slots. They should refer to their Start.Warwick portal to see their PLTT (Personalised Lecture Timetable) which will show their core modules and their option choices the day after they have chosen them via the module registration system. During timetable construction these can help inform timetabling representatives if they have been asked to relocate existing slots or find new slots by seeing where modules aren't already scheduled, etc.

To display a programme of study report:

• Select the department that offers the programme of study in which you are interested by clicking to highlight an option in the ‘Department’ scroll box. Alternatively, if you know all or part of the Programme code you are looking for, enter this in the 'Filter' box and click the '...' button to filter the 'Select Programme' box by that search term.

• Select the programme you are interested in by clicking to highlight an option in the ‘Select Programme' box.

• Select the week range, day, time range and type of report (grid, grid no staff, list,) you wish to see.

• Click the 'View Timetable' button. For printing, refer to 'Useful Tips' above.

Module Timetables (grid format):

The 'Module' link offers access to timetable grids for selected modules, allowing you to set parameters to define the report you wish to see. The resulting report in grid format will display data within cells in the following format:

  • Click on the 'Modules' link on the left-hand side.
  • Select the department that offers the module in which you are interested by clicking to highlight an option in the ‘Department’ scroll box. Alternatively, if you know all or part of the module code you are looking for, enter this in the 'Filter' box and click the '...' button to filter the 'Select modules' box by that search term
  • Select the module/s that you are interested in by clicking to highlight an option in the 'Select modules' box.
  • Select the week range, day, time range and type of report (grid, list) you wish to see.
  • Click the 'View Timetable' button. For printing, refer to 'Useful Tips' above.

Location Timetable (grid format) (Restricted access)

The 'Location' option offers access to timetable grids for selected rooms, allowing you to set parameters to define the report you wish to see. The resulting report will display data within cells in the following format:

*Comments - such as "9.30 - 10.00" on a 9-10 am booking may assist staff such as Estates/Audio Visual to gain access to Centrally Timetabled rooms where necessary.

  • Click on the 'Locations' option on the left.
  • Select the zone of the room you wish to view from the drop-down menu, search for all or part of the room number in the 'Filter' box, or alternatively select the room directly from the scroll box labelled 'Select Room(s)'.
  • Select the week range, day, time range and type of report (grid, list) you wish to see.
  • Click the 'View Timetable' button. For printing, refer to 'Useful Tips' above.
Staff Timetables (grid format):

(Only available if staff information is provided via your department's Timetabling Representative. If want to have staff timetables on please contact us at room.bookings@warwick.ac.uk).

The 'Staff' option offers access to timetables for selected members of staff, allowing you to set parameters to define the report you wish to see. The resulting report will display data within cells in the following format:

  • Select the department of the staff member you wish to view, filter for all or part of the staff member's name in the 'Filter' box, or alternatively select the staff member directly from the 'Select Staff' scroll box..
  • Select the week range, day, time range and type of report (grid, grid with staff names, list) you wish to see.
  • Click the 'View Timetable' button. For printing, refer to 'Useful Tips' above.
