Opening a resource account

We recommend you use one of the following two methods to access a resource account.

  • (1) Full access to the resource account with send as permissions. This gives full administrator privileges to the mailbox. If you need this setting up, please contact the IT Services Help Desk. All owners of resource accounts will get this by default.
  • (2) Delegate access (you need to set up this yourself - instructions below) with or without send as permissions. You have to contact IT Services Help Desk to set the send as permissions.

Another method of accessing resource accounts

There's another way of opening resource accounts - sharing the password with other people and signing directly into it. However, this poses information security risks so we don't recommend working this way.

If you definitely need to access a resource account in this way, you'll need to contact the IT Services Help Desk to change the account's password.

(1) How to access a resource account via full access method


Using Outlook Web App (OWA)

  1. You must have been granted full access rights by IT Services.
  2. Open your main Warwick mailbox and click on your name (top right).
  3. Select Open other mailbox...
  4. Type in the resource account name, click Open.
  5. The mailbox account on screen should now be the resource account (no longer your own personal account).

Using Outlook client (2010)

  1. You must have been granted full access rights by IT Services.
  2. Follow instructions on setting up a profile for a resource account.
  3. When opening the Outlook client you will get a prompt asking which account you wish to open, choose the resource account instead of your own.

(2) How to access a resource account via delegate access/folder permissions

You can only set up delegate access using the Outlook client and if you're the owner of the account. If you're not the account owner, you'll need to talk to whoever owns the account.

If you are the owner:

  1. Open the resource account via the Outlook client (you will have full access - so see the above instructions to do this).
  2. You can set up formal delegate access however sharing folder permissions is often sufficient.
  3. Give your delegates the instructions on how to access the resource account via the Outlook client.
  4. If you want delegates to have send as permissions, contact the IT Services Help Desk to request this and explain that you will be granting delegate access/folder permissions yourself.
