    Campus Print Review

    PrinterIT Services is currently reviewing the University print and copy infrastructure with a view to making it more efficient.

    Likely benefits are expected to include:

    • A reduction in the environmental impact of printing
    • A more reliable print infrastructure with clear service levels and a better fit to your needs
    • A reduction in operational print costs

    To achieve these goals, we are working with NewField IT, a company that specialises in this form of exercise. Their staff are currently on site auditing the current print infrastructure and they will be working closely with the University’s project team throughout the audit.


    Frequently asked questions

    Why?
    This print review is being conducted to give the University a clear understanding of the print, copy, scan and fax estate that has evolved within departments over an extended period of time. Once complete it will provide the University with a breakdown of devices by location in addition to a wide range of valuable metric and TCO information.

    This information will be utilised to create a "Future State Design" document which will provide a template for the future of the Print Infrastructure within the University as part of the planned Managed Print Service (MPS) from IT Services and warwickprint.

    Where?
    All areas across campus are in scope of this review. Access to certain areas will be restricted and prior permission will be sought as required.

    When?
    Immediately, the auditors are currently onsite and are expected to complete the survey by 22nd December.

    How?
    Two auditors will be visiting all areas of the campus and recording key pieces of information from each device. To aid this goal they will be equipped with tablet PC's preloaded with floorplans whilst barcode scanners will be utilised to speed data capture.

    Small barcoded labels will be attached to each device in due course as part of the Print Review.

    Access to all areas of campus is required. Therefore the auditors may request access to master keys or keys to indivudual offices as required.

    ITS are activity working with Security and the Estates Dept. to ensure that access control issues are kept to a minimum and as a consequance the administrative overhead to local staff is also reduced.

    Who?
    IT Services, working with our key Managed Print Service (MPS) partner warwickprint have commissioned the services of NewField IT - a specialist consultancy firm in the field of print management and solution design, to carry out this review.

    NewField IT have a considerable amount of experience within this discipline. To date they have audited in excess of 135,000 devices across 38 countries and have recently worked on a number of similar scale projects within other Higher Education Institutions.


    For Reference: The auditors will have photocard ID's for both NewField IT and the University whilst they will also be wearing Newfield IT branded shirts/fleeces.

    My department does not use central IT Services infrastructure; are we still included in the scope of the audit?
    Yes; this is an audit of all physical print, copy, scan and fax devices located upon the campus site, regardless of whether ITS provides any form of technical support and/or software or hardware infrastructure to facilitate its use.

    This includes all devices that are locally attached to workstations/laptops via a wide varity of interface types. (LPT, USB etc)
