Service description

People Search (https://peoplesearch.warwick.ac.uk) allows you to search for Warwick University staff and students by a combination of first name, surname, department & job title. People Search will only provide limited contact information if you are not logged-on as a member of the University via Web Sign On. This is to comply with the University policy on the visibility of contact details.

It will still be possible to send individuals a message via People Search, which is then delivered to their email account, in a way which does not expose email addresses. The individual receiving the message can then choose whether to reply. We believe this will help reduce the amount of SPAM and unsolicited mail received by the University as email addresses cannot be “scraped” from the Web Site. The telephone number in People Search for me is wrong - what should I do?

My name and/or Job Title in People Search is wrong - how can I change this?

If you are a member of staff and your details are wrong, please contact your HR Assistant. If you are a student, please email studentrecords@warwick.ac.uk and they will be able to update your record.


My department in People Search is wrong - how can I change this?

Please contact the IT Service helpdesk who will arrange for the details to be corrected.


People Search is showing my real name, but I have a preferred first name I would like to use - how can I update this?

People Search automatically uses any preferred first names that have been registered with the HR department. To update your preferred first name in People Search, please ask your line manager to contact your HR Assistant. If you are a student you can change this by accessing the My Student Records link via the My Warwick Admin Systems Start gadget and use the Edit my preferred name option on the My Data tab.


My email address is wrong

If your email address is incorrect please contact the IT Service helpdesk


I think someone else’s name and/or department is wrong in People Search - what should I do?

Please contact this person via email or phone so they can take appropriate action to change their information.


If my details are changed how long will it take before they appear correctly in People Search?

People Search will be updated overnight so your details would be updated within 24 hours of the change being made.


What is the difference between direct number and preferred contact number?

Your direct number is the telephone number you have been allocated by your department. Your preferred contact number is another number you would prefer to be contacted on. For example. if you're working away from your desk for any period of time you can specify a mobile or another University telephone number you can be contacted on.


How can I change my preferred contact number?

You can change your preferred contact number my clicking on the 'My profile' link in the left hand navigation.


If I change my preferred contact number how quickly will this be visible in People Search? 

As soon as you change your preferred contact number it will appear as one of your contact telephone numbers providing the person searching is logged into Web Sign On.


Can I stop my direct contact number being shown in People Search? 

If you would like your direct telephone number to be ex-directory and have alternative ways for people to contact you please contact the IT Service helpdesk to request this.


I searched for a member of the University but I couldn't find them - what should I do?

If you were unable to find a current staff member or student of the University please contact the IT Service helpdesk with details of who you were looking for and the search criteria you used so this can be investigated.


I found the person I was looking for in People Search and tried to contact them using their direct telephone number but I got the wrong person?

Please contact the IT Services helpdesk - for details see IT Service helpdesk - with the details of who you were trying to contact and the number you used so they can investigate the problem


What type image can I upload for the photo on my profile?

The application supports JPG images


What size of image can I upload for my photo?

The application will accept files up to 2Mb in size
