Specify for how long someone can book a resource

This article covers the options that page admins can use to specify when a resource is available to book. There are several ways to do this:

  • Define the Slot length, which is the default duration of a booking.
  • Define the Slot frequency, which are intervals of booking start times.
  • Allow extended bookings – permit visitors to book a resource across multiple slots.
  • Allow recurring bookings.
  • Allow retrospective bookings - permit visitors to book a resource for a time or date in the past.
  • Decide whether Bookings can span multiple days.

Note: modifying Bookings settings affects all resources on the bookings page.

  1. Go to your resource bookings page.

  2. Go to Manage resources > Settings:

  3. Scroll down to the Bookings section:

  4. Pick an option from the Slot length drop-down list to define the duration of a booking slot. Choose from ten minutes, fifteen minutes, half hour, or one hour slots.

  5. The options in the Slot frequency drop-down list determine the interval between booking slot start times. For example, a frequency of ten minutes enables visitors to book a resource starting at 09:00, 09:10, 09:20, and so on

    Note: It is not possible to set a Slot frequency shorter than the selected Slot duration.
  6. To allow visitors to change their booking's start and end time, select Allow extended bookings. If this is not selected, bookings will be restricted to a single slot.

  7. Choose whether or not visitors can make a repeat booking with the Allow recurring bookings checkbox.

  8. If the Allow retrospective bookings checkbox is selected, visitors will be able to create a booking with a date and time in the past. This may be useful if you want to keep accurate records of when a resource was in use for data reporting, for example.

  9. To allow visitors to book a resource for more than 24 hours, select Bookings can span multiple days.

  10. Use the Send confirmation email to the booker checkbox to control whether or not the booker receives an email notification when they book a resource.

  11. Use the Allow bookings radio buttons to determine whether visitors can make bookings For visible hours only, or For any time of day.

    Note: Bookings made entirely outside the hours specified in the Calendar view settings will not be visible or editable without changing the Show only setting for the Calendar View.
  12. When you are satisfied with the Bookings settings, select Save changes.
