PI & Departmental Approval: Research Contracts

Research contracts (i.e. contracts funded by industry) should be approved by the Department prior to being agreed with the industry partner. This process is managed by R&IS under the FP14b approval route in IDEATE. IDEATE will generate a Head of Department Acceptance Memo (or ‘FP14b’) and this will be sent to the PI, the Departmental Administrator, and the Head of Department respectively. Within the FP14b, R&IS will highlight pertinent issues including the cost and price of the contract, the ‘public benefit’ test, matters relating to the ownership and future use of Intellectual Property, clauses relating to confidentiality, liabilities, publication rights, and any key risks specific to the contract that the Department should pro-actively manage. However, it is also important that the PI, the Departmental Administrator, and the Head of Department read the contract themselves, directing any queries on it to R&IS for advice and guidance. In signing FP14b for contracts, the PI confirms that s/he has read and understands the terms of the awards and is able to comply with them and with the University’s relevant policies and procedures; the Departmental Administrator confirms that the Funder Price is acceptable and takes note of any important points with regards to contractual responsibilities; the Head of Department confirms that they have read and understand the terms of the contract, and have taken specific note of any risks and/or special conditions that have been highlighted by R&IS in the FP14b. The Head of Department, in signing the FP14b, confirms that in their view the terms are acceptable to the University, and recommends that they be accepted.

PI & Departmental Approval: Research related Non-Financial agreements

The administration of research-related non-financial contracts, such as CDAs Data Sharing Agreement MTAs, and Site Agreements, is managed by R&IS through the FP14b IDEATE approval route. Within the FP14b, R&IS will highlight pertinent issues including the ‘public benefit’ test, matters relating to the ownership and future use of Intellectual Property, clauses relating to confidentiality, liabilities, publication rights, and any key risks specific to the contract that the Department should pro-actively manage.
