Location: University of Warwick


You will provide key administrative support for the organisation of the International Federation for Theatre Research (IFTR) World Congress at Warwick in 2014. This will involve liaison with the IFTR Executive, its working groups and Cambridge Journals Online (CJO) to ensure compliance with their requirements for the conference; managing and documenting all conference income and expenditure; and correspondence with delegates regarding abstracts, visas, travel, accommodation, etc.

You will possess a first degree; administrative experience in a university or cultural environment; and preferably also some academic experience.You will have experience in preparing and administering budgets; report writingand in managing support staff. You will be IT literate, preferably with web-building experience. Knowledge of the UK Higher Education system is essential, as well as being numerate with good analytical skills; proven interpersonal skills and the ability to present and explain complex information and to develop and maintain internal and external relationships

JOB DESCRIPTION



JOB PURPOSE:


To provide key administrative support for the organisation of the International Federation for Theatre Research (IFTR) World Congress at Warwick in 2014


DUTIES AND RESPONSIBILITIES:


  1. Liaison with the IFTR Executive, its working groups and Cambridge Journals Online (CJO) to ensure compliance with their requirements for the conference.


  1. Design and ongoing management of the Warwick IFTR Conference website.


  1. Liaison with Cambridge Journals Online (CJO) and IT Services regarding registration and abstract databases.


  1. Liaising with Warwick Conferences regarding conference facilities, accommodation, catering and transport provision to ensure they meet the requirements of the conference.


  1. Coordinating the design and production of conference and promotional materials such as the book of abstracts, schedule, conference bags, leaflet inserts and guides.


  1. Training and allocating tasks for postgraduate assistants and student helpers such as servicing the registration desk, orientating delegates etc.


  1. Managing and documenting all conference income and expenditure.


  1. Correspondence with delegates regarding abstracts, visas, travel, accommodation, etc.


  1. Making arrangements for the cultural and social activities as part of the conference programme, as well as book launches and bookstalls.


  1. Ensuring that conference spaces not provided by Warwick Conferences are adequately equipped and serviced.


  1. Coordinating sponsorship opportunities and following up interest and gaining commitments.

The Post


In July 2014 the University of Warwick will host the International Federation of Theatre Research World Congress. The Conference Administrator will undertake the organisation of the conference and associated events in liaison with the IFTR, the Conference Co-organiser, Warwick Conferences and department staff. The post will report to Dr Tim White, Principal Teaching Fellow and Conference Co-organiser.


The Project


This is a large-scale event over five days with 650 delegates from 60 countries. Running alongside the keynotes, panels and working groups there is a formal meeting of the IFTR Executive Committee, new Scholars forum, book fair and programme of social/cultural activities.
