Import bookings from a CSV file

You can import booking information stored in a .csv file to a resource bookings page in SiteBuilder. There are two stages:

Create a CSV file in the required format

  1. First, you need to ensure that your data is in the correct format. Create a new spreadsheet – or download a template CSV file – and ensure your file only contains these columns, in the following order:

    • Resource name
    • Start date – in the format dd/mm/yyyy hh:mm
    • End date – in the format dd/mm/yyyy hh:mm
    • Booker name – leave this column blank, as the data will automatically populate from the Booker usercode column
    • Booker usercode – the person's IT Services usercode
    • Booker email – leave this column blank, as the data will automatically populate from the Booker usercode column
    • Booked date – the date and time the booking was made in the format dd/mm/yyyy hh:mm
    • Title – only include this column if you have chosen to display a Required information text field in the resource's settings
    • Message – only include this column if you have chosen to display the Additional information text field in the resource's settings
  2. Save your spreadsheet as a CSV file.

Import the CSV file to your bookings page

  1. Go to the bookings page.
  2. Go to Manage resource > Import bookings from a CSV file:

  3. Select the Browse/Choose file button and select your .csv file.

    • If the first row of your spreadsheet contains column headings, as opposed to booking data, select First line of CSV file is a header row.
    • If your file contains booking titles, select CSV contains booking titles. You only need to do this if you selected the Required information checkbox in a resource's settings.
    • If your file contains messages, select CSV file includes messages. You only need to do this if you selected the Additional information checkbox in a resource's settings.
  4. Select Import to view a preview of your booking data. Any bookings which cannot be imported - for example because the resource is already booked or marked as Unavailable - are highlighted in red. Use the checkboxes on the left to select the bookings you wish to import:

  5. Select Import. You should now see a list of the successfully imported bookings.
  6. Select the Return to the Resource Bookings page link. You should now see the new bookings on the calendar.
