How does the Eating at Warwick Scheme work?
The Scheme allows users to pay for food at cafes, bars and restaurants and receive 10% discount. The Card may also be used to purchase retail items in shops across the University, although you will not receive the 10% discount. Please note the 10% discount cannot be used in conjunction with any other offer and cannot be used as a double discount. The till will always calculate the best deal for the customer.

How do I apply?
All members of the University are issued with an Eating at Warwick account on joining the University. The scheme is accessed via your University ID Card.

Where can I use the Card?
The Card is accepted in University and Students’ Union owned cafes, bars and restaurants across campus. You may also use your Card in rootes grocery store, the Book and Gift Shop and Warwick Shop but will not receive the 10% discount.

Are there any set up fees?
No. There is no set up fee to join the scheme.

What is the minimum top up amount?
£10 can be added either online by debit/credit card or by cash at a cash loading machine. There are two machines – one located in Senate House reception, the other in the Students’ Union atrium.

Is there a maximum amount I can have on my Card at any one time?
Yes, £100. If you top up your account with more than this then the extra funds will be held securely online. Your account will then automatically be topped up when your balance drops below £50.

What methods of payment can I use to top up my Card?
You may use either a debit/credit card or cash.

Top ups using a debit/credit card can be made can online

Top ups using cash can be made at a cash loading machine. There are two machines – one located in Senate House reception, the other in the Students’ Union atrium.

Can I use my Card to part pay for items?
No. You cannot part pay for items using your Card. This means you have to pay the total amount of each transaction using either your Card or an alternative payment method such as a credit/debit card or cash.

Can I use my Card to pay for a restaurant meal as part of a group booking?
For large parties of 6 or more you can choose how to pay the bill from one of the following options:

Either: Pay your group bill using up to two methods of payment eg credit/debit card or cash (a Card cannot be used)
Or: Individual members of the group order and pay individually using their Card, a credit/debit card or cash.

By paying using one of these options we can improve service and create a positive experience in our restaurants for every customer. We strongly advise large parties of 6 or more to book in advance.

How do I check the balance on my Card?
You can check your balance online. Alternatively your balance will show on any card reader when you pay for goods.

I'm checking my balance online but the amount showing is less than it should be. Why is this?

Firstly, the online balance shown represents your last known balance at the time and location where your Card was last used. Transactions may have occurred since this and have not yet been processed.

Secondly, if your balance is between £50 and £100, you may have money in your account waiting to be downloaded. For security, money is only downloaded once your balance falls below £50.

Once you have topped up your account, funds are automatically available to spend on your Card.

What happens if I have insufficient credit on my Card at a transaction?
You must have enough funds on your Card to pay for items at the time of the transaction. You cannot use your Card to make part payments. If you do not have sufficient credit on your Card, you will need to use an alternative method of payment such as cash, debit or credit card.

My Card doesn’t seem to be working. What do I do?
If you are having difficulties with your Card please bring it to Senate House reception to have it checked.

What do I do if I lose my Card or my Card is stolen?
Report the loss or theft here. The Card will be cancelled as soon as it is reported, so future transactions will not be possible. You can visit University House or Senate House reception for a new Card (subject to a replacement fee) and any remaining balance will be transferred from your old Card. You will need to bring ID with you.

If my Card is lost or stolen, what happens if someone else attempts to use it?
Once you have reported your Card missing your Card will be cancelled and you will not be liable for any future transactions. If your Card is presented at any outlet and the cashier believes it is being used fraudulently, the Card may be retained and the incident recorded.

Do I need to present my card at each transaction?

Yes. Your Card must be inserted in the card reader at outlets in order for the transaction to be processed at the till.

Will I get a refund back onto my Card if there is an issue with goods?
Yes. A refund will be given as per consumer practice. If your Card was used to make the purchase, the refund will be made to your Card. The outlet where the purchase was made will process the refund.

When does the Scheme expire?
The Scheme has no expiry date but will be reviewed annually by the University.

If I wish to leave the Scheme and there is money left on my Card, will I get a refund?

Yes, as per the Eating at Warwick Terms and Conditions. Alternatively you can complete the withdrawal form

I've signed up online but the payment page won't accept my address. What do I do?

On the payment section of the site you are asked to choose which country your Card is from. Choose the correct option in the list and then click the "Select" button to confirm your selection. If your country is not shown choose "other country" then click "Select".
